The demonstration is convincing: a request arrives, software understands it and the next action happens automatically. Then a real customer asks for something the demonstration never covered. Who decides what happens now?
That question matters more than whether a tool is described as an agent. A marketing workflow includes permissions, exceptions and promises made on behalf of a business. Connecting more steps does not remove those responsibilities.
What makes a task suitable for an agent?
Choose a task with understandable inputs and a result someone can evaluate. Preparing a summary of an enquiry is easier to review than independently deciding what the company should promise. Drafting suggested next steps is different from sending them to a customer.
Map the workflow in plain language: what arrives, what should happen and what requires judgment. If the team cannot agree on the correct process, automation will not resolve the disagreement. It may simply repeat it more quickly.
Where should a person stay in control?
Identify actions that affect a customer, a public statement or a business record. Decide which require approval and which can proceed under a defined rule. Keep the approver’s name or role visible rather than writing human review as an abstract safeguard.
A sales enquiry might contain a request outside normal scope. The agent can organize the information and flag the exception. A person should decide the commitment when the consequences exceed the agreed boundary.

What information should the agent receive?
Provide the information necessary for the task and keep access proportionate. A system drafting a reply may need approved service information. It does not automatically need every document in the company.
Check how the chosen product handles permissions, logging and connected applications. Treat information from messages and webpages as material to interpret, not instructions that can expand the agent’s authority. A customer cannot authorize software to ignore the company’s own approval rules.
How do you know whether the workflow improved?
Compare complete assignments, including review, correction and exception handling. Record what the agent drafted correctly, what needed intervention and what could not be resolved. A short demonstration can miss the work that happens after the output appears.
Use a small, representative sample with an existing baseline. Include awkward requests, incomplete information and a changed instruction. The goal is to understand the limits before the workflow handles a larger share of customer interactions.
What is a responsible first implementation?
Start with an internal preparation step such as classifying enquiry subjects, assembling approved references or drafting a handover summary. Keep the existing customer-facing process available while the team evaluates the result.
Expand only when the evidence supports a clearer operating rule. The constructive story about agents is not that no one is needed. It is that people may be able to spend less time assembling information and more time resolving the decisions that actually require them.
Put the decision into practice
- Describe one bounded task and its output.
- Name the workflow owner.
- Set approval rules for consequential actions.
- Test exceptions as well as normal requests.
- Include review and correction in the evaluation.

Questions readers ask
Can an agent replace a contact form?
It can provide another interface, but the business still needs a dependable enquiry route, accessible alternatives and clear responsibility for what is communicated.
Should an agent send every drafted reply automatically?
Only if that action is within a carefully defined and authorized workflow. Drafting and sending are different permissions.
